Assessment task description         

  • This is the second (2nd) of the four assessment tasks you must successfully complete to be deemed competent in this unit of competency.
  • Parts of this task must be conducted in a simulated work environment, which will be recreated and observed in the classroom/online using video conferencing software like zoom or meet by your assessor. 
  • This assessment is made up of three (3) parts.

  • You must attempt all criteria to the required level, e.g., assessment criteria mentioned in the performance checklist to be deemed satisfactory in this task.
  • You must complete this task by following all given instructions, for the trainer/assessor to assess competency in this assessment task.

Applicable conditions   

  • You will need to complete this project in your own time unless specified to be conducted in simulated work environment and submit it as per the Gen Institute’s requirements.
  • You must complete the task independently.
  • You can refer to the textbook, learning materials or your research of external resources in completing this task.
  • Time limit for role plays is 10 minutes, unless otherwise specified.
  • The Trainer/Assessor may ask you relevant questions on this assessment task to ensure that this is your own work, or to confirm your knowledge to close any gaps they may identify as not evidenced in your written responses.
  • The Trainer /Assessor will assess your practical skills, technique and knowledge as you complete this assessment task.
  • All criteria listed in the performance checklists guide must be completed satisfactorily to the standard described.
  • No marks or grades are allocated for this assessment task. The outcome of the task will be Satisfactory or Not Satisfactory.
  • You must express all answers/responses in your own words or acknowledge the sources of reference materials used whenever necessary.

Scenario

NatureCare Products is an Australian company based in Brisbane. The company commenced business in 1996 and manufactures and eco-friendly, high quality beauty skin care products. The business was established to cater for a growing demand for skin products that contain eco-friendly and natural ingredients. There is also an emphasis on eco-friendly packaging.

The company sells its products in health food shops across the country, as well as on-line through its own web site. The company targets customers that want high quality, eco-friendly products. Market research and NatureCare’s basic customer database has identified that around 70% of customers are professional women aged 25 to 55 (a total of 120 customers).

The company currently has a small range of products that include:

  • Cleansing creams to soothe skin during make-up removal. Primary ingredients include Shea butter to nourish the skin and plants extracts that are also rich in essential oils with regenerating and anti-inflammatory properties. This product will be for delicate and mature skins and could also be used as a baby cream.
  • Multi Protection Day Moisturizing Creamsfor dry to normal skin types that help protect the skin during the day and includes Shea butter and extracts from fragile green algae that provides hydrating and protective properties.
  • Regenerating facial scrub to clean off dead skin cells to promote regeneration of healthy new cells. This product will be used for most skin types.

The strategic goals and objectives of the company are to:

  • increase profitability by 10%.
  • expand the product range by 15%.

Shareholders have confirmed that banks are willing to finance 70% of any ventures established to achieve the objectives. The shareholders will find the remaining 30%.

Currently the company employs the following staff: Human Resource manager, Accounts Manager, Marketing Manager, Marketing Assistant, Sales Manager, four customer service representatives, Office Manager, Administration Assistant, Operations Manager, Financial manager, Payroll administrator, Finance assistant (accounts payable and receivable etc.) as well as the CEO and two shareholders as indicated above.

As Human resource manager, you are responsible to plan, coordinate and direct the administrative functions of NatureCare. This includes:

  • overseeing the recruiting, interviewing, and hiring of new staff
  • consulting with top executives on strategic planning
  • serving as a link between NatureCare’s management and employees.

The CEO has asked you (in consultation with the other managers) to lead and manage any changes required to achieve NatureCare’s objectives and make the most of the online retail opportunities brought about by COVID-19 pandemic. At a recent online CEO networking event, a guest speaker provided the following information about the demand for hand sanitising products:

The CEO would like you to submit a written change management project plan for his approval.

A recent staff survey about employee’s attitude towards change showed the following results:

  • Many staff expressed their fear of robotics and how Robotic Process automation is affecting job security.
  • In the past, changes have been implemented at NatureCare without involving and considering the input from a variety of staff members. This has led to a lack of trust in management.

As a result of the survey, the CEO has advised you to consider the needs and input from all personnel when developing a communication/education plan to communicate the required organisational changes. He has also approved $10,000 for a change management consultant to advise you on any proposed changes.

Part A – Identify organisational change requirements and opportunities

As a Human Resources Manager, you have been tasked with identifying organisational change requirements and opportunities (in consultation with the other managers) to lead and manage any changes required to achieve NatureCare’s objectives and make the most of the online retail opportunities brought about by COVID-19 pandemic.

You must analyse the external and internal environment to identify the change requirements and opportunities:

  • Identify the main focus of the organisation.
  • Identify organisation’s strategic goals (list at least two organisational objectives)
  • Analyse the external environment of Nature Care. In doing so, consider:
    1. what is the political situation like?
    2. What is the current and predicted economic situation?
    3. Are there any social considerations?
    4. How are technological advances affecting the business?
  • Analyse the current internal environment of your organisation. Consider SWOT analysis
  • Identify the organisational requirements you must follow as you manage change. It should include organisational documents or any processes you need to follow (include reporting protocols to managers)

Submission requirements:

At the end of this part, you must submit your analysis of NatureCare's external and internal environment including change requirements and opportunities identified.

Part B: Role-play– Consult thestakeholders

Now that you have analysed the internal and external environment of NatureCare, you should consult thestakeholders to identify the organisational change requirements:

During the consultation meeting, you must:

  • identify new and innovative opportunities
  • identify any changes required to how things are currently done in the organisation.
  • choose at least three major operational change requirements and opportunities.
  • Identify how the changes support the organisation’s objectives
  • prioritise the identified changes/opportunities.
  • agree on reporting protocols.

You will be assessed on your ability to:

  •  
    • use appropriate language to suit the audience.
    • ask questions and use active listening techniques to clarify and confirm understanding
    • provide information to the stakeholders.
    • encourage discussion.
    • interact with stakeholders to build and maintain effective relationships
    • use inclusive and collaborative techniques to negotiate the prioritisation of identified changes
    • use lateral thinking and exploration to develop innovative ideas.

This is a role-play. This meeting should take no more than 10 minutes.

In this role play, you must play the role of the Human resource manager. Your assessor will organise six volunteers from the class to play the roles of stakeholders including Accounts manager, Marketing manager, Sales manager, Office manager, Operational manager and finance manager.

Your assessor will record and assess your performance using the Role Play Observation Checklist below.

Prior to the assessment, read the Role Play Observation Checklist to understand the standard of performance expected of you in this task.

You must summarise the outcomes of your meeting using Appendix Bprovided.

Submission requirements

At the end of this part, you must submit the following to the assessor:

  • a roleplay observation checklist completed by your assessor, and signed by you and your assessor
  • summary of the outcome of the meeting using the template in Appendix B.

 

Part C: Role-play – Consult change management specialist

The CEO has approved $10,000 for a change management consultant to advise you on any proposed changes. Following your consultation with the managers, you must consult change management expert to seek feedback on the opportunities identified and the change management process.

During the meeting with the specialist, you must:

  • provide an overview of the highest priority change required for NatureCare
  • seek inputs on how the company should prepare for change
  • seek information on:
    • how they can help manage changes
    • what the benefits of these services are
    • what are the costs associated.

You must make notes of your discussion and retain them for use in subsequent tasks.

This is a role play. You will have 10 minutes to participate in this role-play. Your assessor will organise volunteers to play the role of change management specialist.
